Data Elements

Data Fields

Critical?

Description

Account Number

Critical

Your own A/R account number, used by us internally to match up records received from you from one month to another. This information is used for internal matching only and is never disclosed to our customers.

Company Name
Street Address
City
State
Zip Code

Critical

The name and address of your customer, used by us to match your records up with records from other trade providers. To match, we need at least the company name and one line of street address, plus either city and state or zip code. Zip codes may be either 5 or 9 digits long.

Optional

Addresses are assumed to be in the United States unless you supply an explicit Country name or code. ISO country codes are preferred, but we will take whatever country information you have and convert it.

Phone Number
Fax Number
Email Address
Web Site URL
D-U-N-S Number
Federal Tax Id

Optional

Identifying fields that, if you have them, are also used in matching your records to those of other trade providers. These are less critical than the basic name and address information, but the more identifying data we have the better job we can do on matching and searching.

Number of Years Sold

Optional

Either of these indicate how long this company has been your customer.

Industry Code

Optional

The SIC or NAICS code that best describes this customer's line of business.

If convenient, you can embed the date of the data extract into each record you send to us. If not, we will add the date each month when we get your data.

Past Due 61 to 90 Days
Past Due 91 to 120 Days
Past Due 121 to 180 Days
Past Due 181 to 360 Days
Past Due More Than 360 Days

Optional

These fields specify aged past due amounts for different time frames. We recognize that different providers use different aging buckets. Just tell us what your buckets are and we will map your aging buckets into ours.

In Dispute

Optional

Indicates dollar amounts that have been disputed by the customer.

Total Receivables

Optional

Indicates the total owed by this customer including both current and past due amounts.

Comment

Optional

A simple text field with notes about this customer.

Inactive Accounts: You do not need to eliminate inactive accounts from your feed to us. We detect inactive accounts and do not load monthly experiences from them. (Monthly experiences must have a High Credit, or a Current Amount, or one or more Past Due amounts in order to be considered active.) We do load and maintain the basic account information for inactive accounts so that they are included in our matching and searching.

Non-U.S. Addresses: We will accept and store information on accounts with addresses outside the United States. While we currently do not process such accounts through our matching, we plan to begin doing so in the near future, especially for Canadian addresses.

Number Formats: All money values are stored as whole dollar amounts in our data base. If you send us dollars and cents, we will round to whole dollars as appropriate. Some providers send us data that states the dollar amounts in hundreds or thousands or dollars. Just let us know if you do this so that we can adjust the amounts appropriately before we store them in our data base.

Character Sets: We prefer ASCII because it allows us to skip a conversion step and speeds up the process of getting your data into our data base, but we can take non-ASCII character sets (such as EBCDIC) if that's all you have.
